Hosting A Successful Screenagers Online Event

We made the Screenagers movies to be shown in group community settings such as schools, places of worship, workplaces and more. It is our belief and now experience from over 10,000 events, that communities coming together to watch, learn from and discuss our movies together, is the most beneficial to all. 


The message of our movies and the Screenagers movement as a whole has grown and grown to the point where each month our expert team would be helping 100's of hosts nationwide, put on their own screening events. 


Then Covid-19 happened. This slowed and eventually stopped all in-person events from happening. What didn't stop was the wonderful support of our community and it was during this period a number of our hosts began to ask how it might be possible to move their in-person events into an online format. 


After a short period of figuring out the best way to do this, we launched officially our online event offering and the response from hosts was overwhelmingly enthusiastic!


What we also realized was that while an online event was the perfect way to serve communities who weren't able to gather in person, this new option also served a range of communities who, by design were remote such as online educators, interest groups and other online-based communities. 


Today, next to the gradual return now of our in-person events, our online offering is still here. Here we share with you the steps needed to organize your own Screenagers or Screenagers Next Chapter online event, along with some of the top tips we have learnt along the way. 



1. Making an Inquiry


The best way to get more information is to fill in an inquiry form on our website. Within minutes you will be sent more information on hosting, with price information and host requirements. One of our expert team will then follow up with you in the days after via email to see if you need any further information or to discuss your needs.

Either way, our team are very “non-salesy," won't bombard you with useless information and take pride in helping hosts put on successful events all year round.



2. Types of Online Events


Every organization or community are different and we developed two different event formats to suit the needs of hosts. 


  • Watch together event

This type of event closely mimics the in-person experience but online. We set up a private and secure online webinar for you and your guests with a set start time. With our team managing all the technical aspects for you on the day, all guests watch the movie together and then take part in a Q&A or discussion session after the movie, with the option to have featured speakers, expert panelists, question submission, resource downloads, live chats and interactive polls. 



  • Watch On-Demand event


This type of online event allows you to accommodate the different schedules of your guests. Instead of a set time, your "event" runs for a 2 week period. Your guests are given access to a secure online platform where they can log on at a convenient time and watch the movie. 


At the end of the two week period, everyone then comes together at a set time for an online Q&A/discussion session that either we manage or you can run yourself through through your own platform license like Zoom.

3. Booking


Once you know the type of event you want to run and have all the information you need from speaking with our team, the next step is to book your event with us. 


Let the member of our team you are dealing with know you are ready to proceed and they will send you a simple booking form to confirm. We are flexible on payment terms depending on the needs of your organization and can accept payment in advance or payment via invoice after your event. 



4. Marketing Your Event


Now you are booked, you need to make sure that you market your event to your community! We would recommend you start to promote your event no later than 2-6 weeks before the date to allow people enough time to plan their schedules. 


We will provide access to our marketing guide which will give you ideas and example plans for marketing your event, along with access to a range of posters, social media graphics, imagery, activities and assets to help you spread the word. 


Where you are also running a ticketed event we will, free of charge, set up an online ticketing system for you where guests can reserve and buy tickets and you can track sales and progress.


No more than 2 weeks before your event, we will provide you with the specific link (and any related logins if needed) for your event. Make sure you share this with guests in the days before the event - we have found that emailing all guests on the morning of the event with a reminder of the link and timings is very helpful for good attendance. 



5. Event Day


Whether a watch together or on-demand event, a member of the Screenagers team will be assigned to take care of all of the technical aspects of running your event, along with answering any questions you have in the run-up. They will be present on the day, to make sure the event is running smoothly and fix any issues on the rare chance they occur. 


For the on-demand event period, it is as simple as our team activating your platform page for guests to log on and watch and you reminding them they are now able to do so. 


For a watch together event (or the Q&A/discussion session for an on-demand event) the following are some important reminders


  • Check and double-check your equipment! For hosts and panelists who may be speaking during the webinar, this means checking that your webcam and microphone are working and making sure that your internet connection is stable. Also if away from a power point make sure your device is fully charged.
  • For those speaking during the event, it is a good idea to familiarize yourself with how to mute and unmute your microphone and try to remember to check this before speaking.
  • A good way for guests to easily check if their internet connection is to try streaming a video on YouTube at a quality equal to or higher than 720p. If this works then they should have no problem streaming the event.
  • Don't forget that for those who are unable to attend the event at the scheduled time, we will also provide a link to a recording so they can catch up later on.

6. Your Screenagers Event!


While hosts are welcome to tailor to suit their specific needs, the following would be how a typical Screenagers online event would run;


Watch Together Events


  • Introduction
  • Have the event host or moderator welcome all guests. Give a quick overview of why you are having this event and remind them of the Q&A / Discussion session happening after so guests don't begin to log off as the credits roll.


  • The movie screening
  • Once you are ready, a member of our team will begin the movie stream for your guests. Our movies run for 63-67 minutes, so sit back and enjoy!


  • Post-screening discussion / Q&A
  • Before the event, we provide a moderators guide with advice on running this session and example questions and discussion points. The Screenagers representative will start this part of the webinar and then the host or a specific moderator can introduce guests to this part of the event and explain how it will work for discussion and asking questions. 
  • We also offer the option for a fee to have a member of our team, or one of our trained psychologists run and moderate this session for you. 
  • Before the event, our team will have discussed your requirements and during the session, we can deploy a live chat section, interactive polls, download links and anything else that may be needed. 


Be sure to send a follow-up message to all guests after the event, thanking them for their attendance, providing a link to watch the recording of the event and passing on any follow-up information or activities you have planned. 



Watch On-Demand Events


Once started, your guests will have 2 weeks to log onto the secure platform and watch the movie (a maximum of twice per guest). 


We would recommend that you send reminders to guests at the start, middle and a couple of days before the end of the watching period for them to log on and watch the movie. This is also a good time to remind them of the time and date of your scheduled follow up session. 


  • Post-event discussion / Q&A session.

It is up to you if you want us to run this session for you, or if you are happy to host yourself. Be sure that you are using a technology that is familiar to you and easy for others to access such as Zoom for example. 



7. After the Event


Be sure to follow up on your event with your community. We see so many hosts and guests excited to continue the conversation and ever more creative ways to do so afterwards. Some common ideas include;


  • Let them know about our book, weekly blog and other resources on our website
  • Social media post with event photographs
  • Classroom sessions to discuss what was learned
  • Provide guests with follow up resources on the subject (we have plenty of links and resources on our website) 
  • Pledging — many hosts encourage guests to join them in pledging to make positive changes based on what was learnt. Again we provide many resources here
  • A film or book club - focused on related media or literature
  • awayfortheday.org - Screenagers own initiative to help transform schools into cell-phone free environments.
